Overview

In allmates.ai, you can now change the visibility of any existing workspace at any time — switching it from Public to Private, or from Private to Public. This gives your team full flexibility to adapt access control as your projects evolve, without needing to recreate a workspace from scratch.

A Public workspace is visible and accessible to all organization members with an Advanced or Expert plan. A Private workspace is restricted to explicitly invited members only.

How to Change Workspace Visibility

  1. Navigate to the workspace you want to update and click on its name in the left sidebar to open the Workspace Home Page.

  2. Click the ⚙️ Settings icon (Project settings & members) located at the top right of the workspace.

  3. Go to the Details tab.

  4. Locate the Visibility dropdown menu and select either Public or Private.

  5. A confirmation pop-up will appear. Click Confirm to apply the change.

⚠️ Important: Changing a workspace from Public to Private will immediately restrict access. Only members who are explicitly added to the workspace will retain access. Other organization members will no longer be able to see or join it.

Understanding the Two Visibility Options

Visibility

Who can access it?

Best for

Public

All organization members (Advanced or Expert plan)

Cross-team initiatives, company-wide projects, open collaboration

Private

Only explicitly invited members

Sensitive projects, client work, confidential discussions

Tips & Best Practices

  • 💡 Lock down a project when it becomes confidential: If a workspace started as public but now contains sensitive information, switch it to Private instantly — no need to migrate your data.

  • Open up a successful initiative: Once a private project is ready to be shared with the broader team, switch it to Public to give everyone access.

  • 🎯 Review your member list before switching to Private: When switching from Public to Private, make sure all the right people are already added as members — they won't be able to join on their own afterward.

  • Changes take effect immediately: There is no delay — the new visibility setting applies as soon as you confirm.

Conclusion

The ability to change workspace visibility gives your team the flexibility to adapt access control as your projects evolve. Whether you need to secure a confidential initiative or open up a workspace to the whole organization, it only takes a few clicks in the workspace settings.
