Managing members

Invite members by email or with an invitation link, choose their role and plan, and suspend a member.

Owners and Admins bring people into the organization and manage their access. This article shows how to invite members by email or with an invitation link, choose their role and plan, follow pending invitations, and suspend a member. It is for organization Owners and Admins.

Open the Members tab

  1. At the top of the sidebar, click the name of your organization.
  2. Click Settings. The organization settings open.
  3. Open the Members tab.

The tab has two sub-tabs: Members and Invitations.

Invite members by email

  1. In the Members tab, click Invite members. On a small screen, the button shows only a + icon.
  2. The dialog Invite new members opens. Type an email address and press Enter. The address becomes a chip. Add as many addresses as you need, one at a time.
  3. Choose the role of these members: Viewer, User, Admin or Owner. You cannot give a role higher than your own. The default role is User.
  4. Choose their plan: Essential, Standard, Advanced or Expert in the default plan catalog. The default plan is the first one of the list.
  5. To invite other people with another role or plan, click Add another group and repeat steps 2 to 4 in the new row. Check the role of the new row: it starts on Suspended. Each combination of role and plan can appear in one row only.
  6. Click Send emails.

Each person receives an email "{your name} invited you to join their team on allmates.ai", with a Join Organization button. The Invitations sub-tab opens and lists the pending invitations.

You cannot invite an address that already belongs to a member or to a pending invitation.

The invitation link lets anyone who has it join the organization on their own.

  1. In the Members tab, find Invite link to add members.
  2. Turn on the switch. "Anyone with this link will be able to join the organization on their own."
  3. Choose the plan that people get when they join with the link. In the default plan catalog, the default plan is Expert.
  4. Click Copy link, then share the link.

People who join with the link get the User role. A person who is already a member keeps their role.

To stop the link from working, click generate a new link. The new link is copied to your clipboard, and the old link stops working at once. There is no confirmation step.

To pause the link, turn off the switch. When you turn it on again, the same link works again, but the plan goes back to the default plan: check it.

Follow pending invitations

Open the Invitations sub-tab. It lists each pending invitation with its Email, Role and Plan.

  • To cancel an invitation, click Cancel on its row. The invitation is deleted at once.
  • To send an invitation again, cancel it, then invite the address again.

Manage members in the table

The Members sub-tab lists every member with their Name, Role and Plan. When the list is long, filters and pages show: Search by name, Select roles and Select plans.

  • Change a plan: Owners and Admins pick another plan in the Plan column. The change applies at once.
  • Change a role: only Owners can change the role of another member, in the Role column. You cannot give a role higher than your own. An organization always keeps at least one Owner.
  • Change your own role: pick a lower role on your own row. A dialog Confirm role change warns you, for example that you will lose access to the organization settings.
  • Export: click Export to download the member list as a CSV file.

Suspend a member

allmates.ai has no action to remove a member. To stop a member's access, suspend them:

  1. As an Owner, open the Members sub-tab.
  2. In the Role column of the member, choose Suspended.

The member can no longer open the organization. They see the page "You have been suspended": "You no longer have access to this organization." If they belong to other organizations, they can switch to one of them. Their past messages stay in the conversations.

To reactivate a member, choose another role in the Role column.

Good to know

  • Only Owners and Admins can open the organization settings.
  • The invitation email is in English.
  • Your organization's plans may differ from the default catalog. See "Managing Roles, Plans, and Permissions" for what each plan includes.
  • To add a member to a private workspace, a workspace Owner or Admin uses the Members tab of the workspace settings. See "Creating Your First Workspace".
