Setting up your organization: Owner checklist

Set up organization details, access, models, tools, Mates, knowledge and your first workspace in a practical order.

Use this checklist when you are the Owner of a new allmates.ai organization. It puts the setup work in a practical order and points to the detailed guide for each part. You can return to a step later, but complete the access and model checks before you invite a large team.

This page is a map, not a replacement for the linked procedures. Admins can complete many of the same tasks. Some controls remain limited to Owners, and each linked guide states who can use them.

1. Add your organization details

Set the name, photo and description that members see. The description can also give background to Mates in your workspaces.

2. Choose the models available to Mates

Review the organization's model list and select its default model. Remove models that your team must not select.

3. Decide roles and plans before inviting members

Use roles for organization-wide authority. Use plans for feature access. Decide which people need Owner or Admin authority, then give everyone else the narrowest role and plan that fits their work.

4. Invite and review members

Invite members, review pending invitations and confirm each person's role and plan. Suspend access when a person no longer needs the organization.

5. Check your subscription and credits

Open Plans & billing to review the subscription, credit balance and invoices. Keep commercial decisions with the people who own them in your organization.

6. Prepare tools and shared connections

Choose the tools that Mates need. For services used by a team, decide whether each connection is personal or shared before members start using it.

7. Add useful Mates

Start with a small set of Mates that have clear jobs. You can add a ready-made Mate from the Mates Store, then adjust it for your organization.

8. Give Mates the knowledge they need

Use Mate Knowledge for reference material that a Mate needs across conversations. Keep one-off files as conversation attachments.

9. Create the first workspace

Create a workspace for a real team, project or client. Set its visibility, add the first members and start one conversation that the team can use together.

Good to know

  • Your organization's plans may differ from the default plan catalog.
  • A workspace has its own members and permissions. Organization access alone does not grant the same authority in every workspace.
  • Review roles, shared connections and unused models when responsibilities change.
