Using the allmates Note Taker with Zoom

The allmates Note Taker is a meeting bot that joins your Zoom meetings to record them. After the meeting, you get a speaker-attributed transcript and a summary in the extension and by email. This article covers what is specific to Zoom: the link, the passcode and the waiting room. Before you start

Install the allmates.ai extension from the Chrome Web Store. Sign in to allmates.ai in the extension side panel.

Send the note taker to a Zoom meeting

1. Get the meeting link. Use Zoom's Copy invite link: it includes the meeting passcode, which the note taker needs to get in.
2. In the extension side panel, click the record button (Recordings), then New Recording.
3. Keep Join a meeting selected and paste the link under Paste the meeting link. The Zoom chip shows that the link is recognized.
4. Click Send Note Taker.

The extension accepts these Zoom links, also on company subdomains:

• Invite links (zoom.us/j/…).
• Web client links (app.zoom.us/wc/…).
• Personal meeting room links (zoom.us/my/…).

If you open a Zoom invite link or the Zoom web client in your browser, a card asks Start the allmates note taker? Click Start note taker.

The passcode check

A Zoom link without its passcode shows this warning: "This Zoom link has no passcode. If the meeting needs one, the bot will wait at the passcode prompt without the host ever seeing it." Paste Zoom's Copy invite link instead, or the address of your meeting tab.

If the same meeting is open in a browser tab with its passcode, the extension completes your link. It then shows: "Your link was missing its passcode — we completed it from the Zoom meeting open in your browser."

A Zoom address that is not a meeting room shows: "Looks like a Zoom URL but not a meeting room." You cannot send the note taker with it.

The waiting room

The note taker joins as a guest, under its display name. It does not need you in the meeting. If the meeting has a waiting room, the host must admit it from the Participants list.

While the note taker waits, the extension sends you a desktop notification and one email. If nobody admits it, the recording shows Lobby never admitted bot.

Good to know

• The note taker is always a visible participant in the meeting.
• A Zoom meeting that allows only signed-in participants can refuse the note taker. The recording then shows Meeting required sign-in. Ask the host to allow guests for this meeting.
• If the note taker never got in and your link had no passcode, the message tells you to send it again with the full invite link.
